First interaction

1. Start safely with your Vaultly account

From the landing page, choose Start Free, Create Free Account, or Sign in. New users enter an email address, create a strong password, accept the required terms, and confirm the verification link sent to their inbox.

After email verification, sign in and Vaultly opens your personal vault. If you are returning later, use the sign-in page. If you forget your password, use Forgot password and complete the reset soon after receiving the email.

Use an email address you can access long term. Warranty claims can happen months or years after purchase, so your Vaultly account should be tied to an inbox you expect to keep.

2. Learn what each Vaultly area is for

Vault is your main receipt dashboard. It shows saved receipts, search, filters, warranty status, return status, and shared-vault views when available.

Add Receipt is where you capture or upload a receipt and enter purchase details. Reminders is where you review warranty and return notifications. Profile is where you manage your plan, billing, household sharing, privacy options, rating feedback, and data export.

The Vaultly bot can be opened when you need guidance. It is designed to help with how-to questions, receipt workflow questions, warranty and return guidance, plan questions, and troubleshooting.

3. Add a receipt correctly

Open Add Receipt and either capture a receipt with your device camera or upload an existing file. For the main receipt image, use a clear photo or supported image format whenever possible.

Enter the item name, store, amount, currency, purchase date, and category. Vaultly treats category and store capitalization consistently, so 'Amazon', 'amazon', and 'AMAZON' are understood as the same store for cleaner insights.

Choose the correct currency when saving the receipt. If you set a default currency from the receipt workflow, Vaultly remembers it and uses it across your vault and reports instead of assuming one currency for everyone.

Use descriptive names. 'Samsung 55-inch TV' is more useful than 'TV'. 'Kitchen blender' is better than 'Item'. Future-you will search by the words you choose today.

Warranty protection

4. Track warranties before they expire

Turn on warranty tracking for items with coverage. Choose a preset duration such as 90 days, 6 months, 1 year, 2 years, 5 years, Lifetime, or enter a valid custom duration.

Vaultly calculates the warranty expiry date from the purchase date. Custom durations are restricted so they do not break the reminder schedule; very short durations that conflict with reminders are not accepted.

Free users receive in-app warranty reminders at 30, 7, and 1 day before expiry. Pro users receive earlier and richer reminder timing at 60, 30, 14, 7, 3, and 1 day before expiry, giving more time to act before the manufacturer or retailer is no longer responsible.

Color signals help you judge urgency quickly: green means safe, gold means attention soon, red means urgent or expired.

Return windows

5. Track return deadlines separately from warranties

A return window is different from a warranty. A return window is the short period when a store may accept a return. A warranty is usually longer and protects against faults or defects.

Turn on return tracking when the item may need to be returned. Choose a common duration such as 7, 14, 30, 60, or 90 days, or enter a valid custom number of days.

Return reminders use the same clear urgency language. Green means you still have time, gold means the deadline is approaching, red means action is urgent, and grey means the return window has closed.

Supporting proof

6. Attach useful documents to each receipt

Receipts are powerful, but supporting documents make a claim stronger. Attach manuals, warranty certificates, service records, delivery notes, installation paperwork, and other proof connected to the purchase.

Vaultly accepts common document types and checks files before upload to reduce unsafe content. If a file cannot be prepared safely, choose a clearer PDF, image, or standard office document version.

Best practice: keep the receipt image as the main proof, then attach warranty certificates or service records as supporting documents. This keeps each receipt easy to understand later.

Daily use

7. Use the vault as your purchase memory

Open Vault to see your saved receipts. Search by item, store, category, or date. Use filters to focus on specific purchases, urgent warranties, return windows, or shared-vault content.

Open any receipt to see its full detail page. The owner can edit the receipt while it is editable, update its image, manage warranty and return settings, attach documents, and download available files.

Free receipts become read-only after 5 edits. This protects the integrity of purchase records and encourages careful entry. If you need long-term flexibility and unlimited protection, Pro is the better plan.

Act on time

8. Use reminders before deadlines become losses

Open Reminders to see warranty and return notifications. Review the most urgent items first, then mark reminders as read after you have acted on them.

In-app reminders appear inside Vaultly. Pro users can also enable push notifications on supported browsers and devices. Push is device-specific, so enable it separately on each phone, tablet, or browser where you want alerts.

Do not wait until the final reminder. The best time to prepare a claim is when the first warning appears, especially for electronics, appliances, furniture, and expensive household items.

9. What to expect on Free

Free is designed as a serious starter vault. You can save up to 10 lifetime receipts, track warranties, track return windows, receive in-app reminders, search your vault, and attach supporting documents.

The 10-receipt allowance is lifetime-based. Deleting receipts does not reset the lifetime count, because Vaultly is built to protect real purchase history rather than temporary storage.

Free users can receive in-app seasonal guidance when campaigns apply. Free users do not receive seasonal campaign emails, because campaign emails are reserved for Pro users who choose to opt in.

10. What Pro unlocks

Pro is for users who want Vaultly to protect every meaningful purchase, not just a small starter set. It unlocks unlimited receipts while active, earlier warranty reminders, optional push notifications, household sharing, reports, receipt PDFs, data exports, insurance reports, and provenance tools.

Spending insights help you understand where your money goes by category, store, and time period. Insurance reports help turn your receipts into a claim-ready inventory. Provenance packs help second-hand buyers trust the item you are selling.

Pro is most valuable when you use it as a habit: save purchases immediately, attach documents, enable reminders, and let Vaultly protect you quietly before something breaks.

Billing lifecycle

11. Understand subscription changes

Monthly and yearly subscriptions renew through the billing provider. If renewal succeeds, Vaultly continues treating the account as Pro until the paid period ends.

If renewal fails and the allowed billing period ends, the account returns to the free experience. The earliest free allowance remains available, while receipts beyond the free active allowance are preserved but locked until Pro is restored.

Cancelling Pro does not immediately remove paid access. Access continues until the paid period ends. Re-subscribing restores Pro features and unlocks protected Pro-only workflows again.

Household sharing

12. Use household sharing carefully

Pro users can create a household vault and invite trusted family members by email. Invited members accept through their invite link after signing in or creating an account.

Sharing is permission-based. Members can view shared vault content according to the household rules and their own account state. They cannot edit receipts they do not own.

Household sharing does not transfer all Pro benefits to another person. Each user’s Pro-only tools still depend on that user’s own plan state.

Reports and exports

13. Use reports when records need to look professional

Pro reports help you turn everyday receipt storage into useful financial visibility. Spending insights summarize purchases by category, store, and time period using your selected/default currency behavior.

Receipt PDFs help when you need a clean copy for a claim, refund, resale, or record keeping. Insurance reports help organize protected purchases into a format that is easier to review during a claim.

Personal data export is written for users, not developers. It focuses on your account, receipts, documents, reminders, and plan history in a simplified way without exposing storage paths or internal technology details.

Seasonal guidance

14. Seasonal notices and campaign emails

Vaultly may show seasonal in-app notices around moments when receipts matter most: Black Friday, Christmas shopping, post-holiday sales, back-to-school purchases, Ramadan, Eid, Diwali, Chinese New Year, and other relevant periods.

Free users and former Pro users can receive in-app seasonal notices when eligible. These notices are meant to help you remember what to save and why it matters before receipts disappear.

Active Pro users who opt in to product tips and updates can also receive seasonal campaign emails. These emails are designed to be useful, practical, and purchase-protection focused. Email opt-in is optional, and users can unsubscribe from campaign emails.

Privacy

15. Keep your vault private and tidy

Use a strong password and keep your email account secure. Do not share your sign-in details with family members; use household sharing instead when you want someone else to view shared purchases.

Only upload documents that belong with the purchase. Avoid uploading unrelated personal documents, passwords, banking screenshots, or files containing private information that is not needed for a warranty, return, insurance claim, or resale proof.

If you download your data or receipt PDFs, store those downloaded files safely on your device. Vaultly can protect what is inside your account, but downloaded copies are your responsibility.

Best practices

16. Habits that make Vaultly more helpful

Save the receipt the same day you buy the item. Receipts are easiest to capture before they are lost in a paper bag, email inbox, messaging app, or drawer.

Photograph the full receipt in good light. Include the store name, purchase date, item name, amount, and receipt number where possible. Retake blurry photos before saving.

Use consistent categories. For example, use Electronics for phones, laptops, and tablets; Appliances for kitchen and household machines; Furniture for sofas, beds, and desks.

Record the real purchase date, not the upload date. Warranty and return reminders depend on the purchase date.

Attach warranty certificates, service records, delivery notes, and repair paperwork as soon as you receive them. The more complete the record, the easier a future claim becomes.

Enable Pro push notifications on every device where you want deadline alerts. Push permission on one browser does not automatically cover every device.

Review Reminders weekly. A short weekly check is enough to catch most return deadlines and warranty expiries before they become expensive.

Common fixes

17. What to try when something feels wrong

If upload fails, check your connection, try a smaller or clearer file, and avoid unusual file types. Standard images, PDFs, and common office documents are the safest choices.

If push notifications do not appear, confirm you are on Pro, push is enabled in Vaultly, browser notifications are allowed, and the device/browser supports web push.

If a Pro feature appears locked, refresh the page and check your Profile plan state. If a payment recently changed, allow a short time for the subscription status to sync.

If an email is missing, check the inbox and spam folder. For campaign emails, confirm that the account is active Pro and opted in to product tips and updates.

18. When you are unsure, ask Vaultly first.

The Vaultly bot is the fastest first stop for help. Ask it about adding receipts, warranty durations, return windows, push notifications, subscription behavior, household sharing, reports, or anything that feels unclear.
